Workplaces are evolving more than ever before thanks to the introduction of technologies like AI notetakers

But while some are hailing their advantages in being able to listen in on meetings and record notes, others are raising their eyebrows over their efficiency and issues with privacy.

With this in mind, we’ve spoken to Raphael Allstadt, CEO of AI notetaker platform tl;dv who has explained the benefits of implementing AI notetaker tools into the workplace and why businesses shouldn’t be afraid of them.

“Over the last few months, we have seen AI and its applications in business become the main topic of discussion. Many are only just waking up to its uses and how it can help leverage organisations, while others have fully adopted tools into their everyday workflow.

“However, with its now widespread use, it’s understandable that leaders are concerned about privacy and how staff adopting tools will impact their business.

“Ultimately, different organisations and industries will have to make decisions based on the sensitivity of the information under consideration. While there might be no harm in an employee within a marketing firm asking AI to improve the structure and clarity of some work, providing access to a database with private medical records without a deep understanding of where the data is transferred to, where it is stored, and how it is going to be processed—by whom, and by which AI model—is an entirely different story.

“However, rather than prohibiting the use of AI tools entirely because they perceive a threat, which could lead to an increase in shadow AI use among employees, consider why employees within your organisation want to implement AI tools in the first place. For example, they can be extremely useful for efficiently completing tasks that would otherwise take human hours to complete, as well as increasing collaboration and productivity among your workforce.

“You don’t want to become a business that gets left behind by remaining ‘100% authentic,” while competitors around you are widening the gap between they can offer their customers due to leveraging AI.

“Instead, businesses should be considering how you can implement AI’s use in a professional setting, managing its boundaries and how employees can use it safely.

“Implementing robust privacy measures not only mitigates risks like data breaches but also creates trust with employees using AI tools and stakeholders.”

Allstadt highlights below some of the key way AI tools, such as AI notetakers for instance, can benefit businesses that key stakeholders should consider:

Helps with coaching and feedback

AI tools can be a great source of providing feedback and training to staff members and how they interact with customers, clients and key stakeholders.

AI notetakers record employee conversations in real time, which makes it easy for sales managers, for example, to spot where their team is excelling and where they can improve on customer interactions so they can win more deals for the business.

Allows staff to focus during meetings and spend time on more important tasks
AI note-takers and software also save a significant amount of time. At the moment, it is said that for a sales rep, for instance, an AI notetaker can save around 30 minutes per meeting, where people would have been doing busy tasks such as watching entire recordings to prepare for an upcoming meeting, updating CRMs or writing follow-up emails.

AI-generated meeting notes are now ready to share with participants or within other tools, as soon as the meeting concludes, with a personalised note structure, accurate transcriptions, speaker distinctions, topical summaries, agreed next steps and highlighted actions.

This allows employees to fully engage in conversations and focus on important tasks in the present moment without the distraction of multitasking to take notes. As well as this, staff can dedicate their energy to more valuable or urgent activities.

Get Insights into how customers see your products and services

AI tools such as notetakers can also give your business key insights into how customers are viewing and using your products.

Not only can this help you understand what you need to change, but it can also help teams prioritise innovation and customer satisfaction, as well as road map features that your customers really want based on user feedback.

Helps Take Accurate Notes and Capture Important Information

Transcribing and writing up notes from a meeting can often take hours, which often many employees do not have time to do due to long lists of tasks or deadlines to meet. Not only this, despite the effort, there is always the risk of missing important details due to human error or a follow-up action that needs to be dealt with immediately being missed, whereas using AI notetakers provides an accurate record of everything discussed, including crucial details and sensitive information that can be stored securely.

This information can be used to make informed decisions. As well as this, AI notetakers can distinguish between speakers, bridge language gaps, and even offer insights into projects or help provide tailored feedback as part of performance reviews.

Improves client relationships

In most industries, maintaining clear and open communication with clients is essential for building strong relationships and ensuring satisfaction, such as the relationship between a sales manager and a customer. AI tools help transcribe every detail, request, or piece of feedback discussed. This ensures that nothing goes unnoticed and that deliverables meet client or customer expectations.

Additionally, having a detailed record of every discussion provides a reliable reference point, allowing confidence and trust between you and your clients.
